Quality guidelines for PDF documents
Objective
The objective of this data quality guideline is to review and enhance the quality of PDF documents. To ensure that sales materials are presented and utilized perfectly, the following points should be considered when creating PDF documents. Different requirements apply to cross-article and article-specific documents.
Requirements for Cross-Article Sales Documents

1 | Texts | When creating PDF documents, there may be errors or issues with further processing. A problem arises when PDFs are generated based on scanned documents. The files often contain images instead of characters. These images cannot be analyzed and used in subsequent processing. The content is readable only by humans but cannot be used in processes. When using special fonts, such as those for icons or symbols, shifts may occur. To ensure clean display, these fonts should be embedded in the PDF. Another issue may arise when copying text from a PDF document. This can result in all characters being converted into special characters. To check if optimal use of your PDFs is possible, you should copy various text excerpts from the PDF document and paste them into, for example, Word. If the pasted text matches that from the PDF, it can be used. If the text has changed, the PDF should be revised. |
2 | Table of Contents | You can include a table of contents as a collection of bookmarks in your PDF document. A bookmark is given a name (e.g., Shower Drain) and refers to the corresponding page in the document. It is important to note that only one entry can refer to a page. You should consolidate entries if they point to the same page. |
3 | Password Protection and other Restrictions | Ensure that your PDF documents are not password-protected, as this can lead to processing issues. To check the protection status, examine the document properties under Security. These settings can only be modified by the creator. |
4 | Color Control Strips and Crop Marks
| When generating PDFs, ensure that settings specify no color control strips, crop marks, or registration marks in the document. |
5 | Double-Sided Pages | While double-sided PDFs are suitable for printing, they can be problematic on a monitor. In this case, check the settings to ensure that pages are not double-sided. This means there should be no single pages consisting of two document pages visible over two page numbers. |
6 | Image Quality | It's crucial to ensure optimal display of your images. A resolution of 150 dpi usually guarantees good representation. Higher dpi for print PDFs may have a much larger resolution, which is often impractical for customers due to size. Ensure your documents do not exceed 500 MB so that customers can process them. Otherwise, check if a web version of the document is available. |
7 | Title Page | Including a title page in your documents enhances the navigation and presentation of your PDF. If you attach a cover to a document (inside and back), pay attention to the layout settings to avoid page offsets. |
8 | Article Names / Article Numbers | Having a clear article name and/or factory number is highly advantageous. Through interfaces like online shops, customers can directly inquire about catalog-highlighted articles. If your catalog assigns a unique number or designation to each article, this inquiry will be optimally executed, and the highlighted article will be transferred to the connected online shop exactly as listed in the catalog. |
